Introduction

HALA MOVE (Pty) Ltd (“HALA MOVE”, “we”, “us”, “our”) is the responsible party for the personal information we process in connection with our platform. We are registered in the Republic of South Africa and operate from Durban, KwaZulu-Natal.

We are committed to protecting your personal information and to processing it responsibly, lawfully, and transparently. This Privacy Policy explains what information we collect, why we collect it, how we use and protect it, and what rights you have.

This policy applies to all users of halaapp.co.za and the HALA MOVE mobile applications (Android and iOS), including customers who post jobs, drivers who bid for jobs, and fleet owners who manage vehicles on the platform. By using the HALA MOVE platform, you confirm that you have read and understood this policy.

Your data belongs to you. HALA MOVE does not sell personal information to any third party. We never have and we never will.

Information We Collect

Account Data (all users)

When you register on HALA MOVE, we collect your name and your South African mobile number. Your mobile number is used as your login identifier no password is required. A one-time PIN (OTP) is sent to your number to verify your identity each time you log in.

Driver-specific Account Data

Drivers are required to provide additional information as part of the verification process. This includes your South African ID document number, a photograph of your SA ID document or smart card, your vehicle details (make, model, year, registration number), photographs of your vehicle from multiple angles, your current roadworthy certificate, and your South African bank account details for receiving payouts.

Location Data

The HALA MOVE driver app collects your GPS location while you are marked as “Online” and during active jobs. This data is used to show your location to customers on the live tracking map, to calculate estimated arrival times, and to maintain an audit trail for dispute resolution. Location data is not collected when the app is closed or when you are marked “Offline”. It is not used for advertising and is not shared with any advertising network.

Job and Transaction Data

We collect records of every job completed on the platform, including pickup and dropoff addresses, item descriptions, job status updates with timestamps, photos taken at pickup and delivery, the accepted bid amount, the platform fee charged, and the payout made to the driver. This data is stored to support dispute resolution, to generate earnings summaries, and to provide customers with a record of their move history.

Device Data

We collect basic device information including your device type, operating system version, and push notification token. The push notification token is used solely to send you job alerts, status updates, and platform notifications. It is not used for advertising.

Communications Data

In-app chat messages sent during active jobs are stored to support dispute resolution. Support tickets submitted to HALA MOVE are stored to track issue resolution. Communications data is retained for 90 days following job completion and then deleted.

How We Use Your Information

We process your personal information on the following lawful bases under the Protection of Personal Information Act 4 of 2013 (POPIA):

  • Contractual necessity: We process your account data, location data, job data, and payment data to provide the platform service you have contracted with us to receive. Without this processing, we cannot fulfil our obligations to you.
  • Contractual necessity: We process driver identity and vehicle data to verify your eligibility to operate as an independent service provider on the platform.
  • Contractual necessity: We process payment data to calculate driver payouts and to facilitate customer payments through PayFast.
  • Legitimate interest: We process job history and performance data to maintain your rating profile, which is a core feature of the platform’s trust system.
  • Legitimate interest: We process GPS trail data and timestamped photos to investigate and resolve disputes between customers and drivers.
  • Legitimate interest: We process usage and device data to maintain the security and technical performance of the platform.
  • Consent: We send push notifications based on your consent, given when you first install and open the HALA MOVE app. You may withdraw this consent at any time through your device notification settings.
  • Legal obligation: We may process and retain certain data where we are required to do so by applicable South African law, including for tax and regulatory purposes.
  • Legitimate interest: We use aggregated, anonymised data to understand platform usage patterns and improve our service. This data cannot be traced back to any individual user.

Who We Share Your Information With

Other Platform Users

Before you accept a driver’s bid, you can see the driver’s name, profile photo, vehicle type and photo, star rating, and number of completed jobs. You cannot see their phone number, their South African ID, or their home address. Once you accept a bid, the driver can see your name and your job pickup address. In-app chat allows communication without either party sharing personal phone numbers.

Drivers can see a customer’s name and pickup address only after their bid is accepted. They cannot see the customer’s personal phone number.

Payment Processor

We share transaction data with PayFast (PayFast (Pty) Ltd, a licensed South African payment service provider) to process customer payments and driver payouts. We share only the data necessary to complete the transaction. PayFast’s own privacy policy governs their use of this data.

Cloud Infrastructure

HALA MOVE uses Supabase as its database and file storage provider. All data stored on Supabase is subject to Supabase’s security standards and data processing agreement. Driver documents and job photos are stored in encrypted Supabase storage buckets.

SMS Service

We use Africa’s Talking to deliver OTP verification codes via SMS. We share only your mobile number with Africa’s Talking for this purpose.

Legal Compliance

We may disclose your personal information to law enforcement, regulatory authorities, or other third parties where we are legally required to do so, or where disclosure is necessary to protect the rights, property, or safety of HALA MOVE, its users, or the public.

HALA MOVE does not sell, rent, license, or otherwise transfer personal information to any third party for marketing, advertising, or commercial purposes.

Location Data Special Notice

Because location data is particularly sensitive, we want to be clear about exactly how it works on the HALA MOVE platform.

  • Location data is collected from drivers only not from customers.
  • It is only collected while the driver app is open and the driver is marked as “Online”, or during an active job.
  • It is not collected when the app is in the background or closed.
  • It is shared only with the customer who has accepted that driver’s bid, and only for the duration of the active job.
  • It is stored for 90 days for dispute resolution purposes and then permanently deleted.
  • It is never shared with any advertising network, data broker, or third party for any commercial purpose.

Driver Identity & Financial Data Special Notice

South African ID numbers and bank account details are treated with the highest level of protection on the HALA MOVE platform.

  • Both are encrypted at rest and in transit using industry-standard encryption.
  • ID numbers and bank account details are never returned in API responses accessible to other users or to the front-end application beyond what is strictly necessary for the purpose for which they were collected.
  • ID numbers are used solely for identity verification. They are not visible to customers, other drivers, or any party other than HALA MOVE’s verification process.
  • Bank account details are used solely for processing driver payouts through PayFast. They are not visible to any other party.
  • Only authorised HALA MOVE team members with a legitimate operational need can access this data, and all such access is logged.

Your Rights Under POPIA

As a data subject under the Protection of Personal Information Act 4 of 2013 (POPIA), you have the following rights:

  1. Right of access: You may request a description of the personal information HALA MOVE holds about you and the identity of third parties who have or have had access to it.
  2. Right to correction: You may request that we correct or update inaccurate or incomplete personal information about you.
  3. Right to deletion: You may request that we delete personal information that HALA MOVE is no longer authorised to retain. Note that certain records may be retained where we have a legal obligation to do so.
  4. Right to object: You may object to the processing of your personal information where that processing is based on legitimate interest. If you object, we will stop processing unless we can demonstrate compelling legitimate grounds that override your interests.
  5. Right to restriction: You may request that we restrict processing of your information in certain circumstances, for example while the accuracy of data is being investigated.
  6. Right to portability: You may request a copy of the personal data you provided to HALA MOVE in a structured, commonly used format.
  7. Right not to be subject to automated decision-making: The HALA MOVE platform uses automated systems to rank driver bids and to flag potential disputes. You have the right to request human review of any automated decision that significantly affects you.
  8. Right to lodge a complaint: You have the right to lodge a complaint with the Information Regulator of South Africa if you believe we have processed your personal information unlawfully.

Changes to This Policy

We may update this Privacy Policy from time to time as the platform evolves and as legal requirements change. When we make material changes, we will notify registered users by in-app notification and by posting a prominent notice on halaapp.co.za at least 14 days before the changes take effect.

Your continued use of the HALA MOVE platform after the effective date of any changes constitutes your acceptance of the updated policy. If you do not agree to the updated policy, you may close your account by contacting us at hello@halaapp.co.za.
